An intranet file library called the Marketing Insider provided employees with regularly used marketing documents including sell sheets, product profiles, quarterly corporate earnings, standard pitch decks, self-serve logos, and more. The current site was built and maintained on a Lotus Notes platform.
PROBLEM: The platform was outdated. The company upgraded to Microsoft Office 365 and Lotus database is becoming increasingly difficult to update regularly. Users can not currently reference or share files because the entire library is masked under the company’s intranet umbrella URL.
SOLUTION: Recreate the file library using Sharepoint 2016 because of the company’s upgrade to Office 365.
1. To accomplish this move, a full file audit took place to categorize current files that should move over and old files that should not. An information architecture was established by taking the existing structure and converting it to useful and filter-able keyword tags instead of categorized pages.
2. New wire-frame designs were created to establish the overall look and user functions of the new library. The structure would be set up in similarly developed categories but also tagged with important keywords making the file library searchable in a variety of new ways including: via category that was tied to tags represented in the title, a keyword cloud that displays the most used keywords in a search and an overall, basic search.
3. User interface elements were compiled using Adobe XD into wireframes that establish universal design elements and user experience structure in an easily exportable format.
